      RFP Development (Requirements Definition)

Requirements definition is a critical step in RFP development.  These requirements are the drivers for the operations and technology capabilities SCE solutions are expected to deliver.  Defining the functional, technical and commercial requirements helps align business strategies with technology strategies and creates a methodical approach to assess current and desired functionalities.

Functional Requirements should describe all the processes and workflows to be performed by the software solution. RFP responses will determine what requirements are included in the base application as well as those supported by a modification or process change. Identify and document the Technical Requirements for your solution to include interface points and hardware, such as radio frequency networking and terminals, and printers. Commercial Requirements should define the contractual aspects of the relationship with the potential vendor –purchase criteria, support agreements, contract terms and conditions, guarantees and incentives, and pricing structure. 4SIGHT can help you streamline the documentation of your business requirements by leveraging our own templates already highlighting the basic areas inherent to most operations, allowing us to focus on the areas unique to your operation.

Upon completion of requirements definition, RFP development occurs. 4SIGHT’s RFP Response Matrix template delineates your business requirements in a succinct and detailed format, providing an effective tool to measure and evaluate vendor responses.  In reviewing the completed RFPs, consider such questions as:  How accurate are the responses? Is appropriate attention to detail evident?  The RFP should provide sufficient information to allow the vendor evaluation team to assess each vendor’s ability to meet your critical business needs, focusing on the predetermined high-priority criteria related to the overall strategic direction of your business.
